PROJECT PROCEDURES

 
All project proposals must be submitted to CETA Head Office using the address below.

1. ON RECEIPT OF PROJECT PROPOSAL

 
The Project office will electronically acknowledge receipt of your proposal and inform the relevant regional office.
The project proposal is evaluated by the Project Manager for processing
The project proposals should be in line with the CETA Strategic Projects
The proposals are circulated to Head Office & Regional Management for evaluation and recommendation to the Project Evaluation & Mentoring Committee (PEM) for provisional approval.
The recommended proposals are submitted to the Executive (EXCO) Committee for approval
 

2. AFTER APPROVAL BY EXCO

 
Project Opening Form is completed and a letter of approval is sent to the company/organisation for notification.
CETA opens a file for this company/organization and a Project Number is allocated.
A meeting with the relevant party is held to discuss the execution of the project.
A Funding Agreement, MoU or MoA is drawn and sent to the company/organisation for signature.
A signed and agreed upon document is filed for record purposes
 

3. AMENDMENT ON THE CONTRACT

 
A company/organisation must submit a written motivation for a contract amendment at least three months before the expiry date of the contract
The amendment is evaluated by the Project Management Unit and submitted to the Project Evaluation & Mentoring Committee (PEM) for recommendation, thereafter to EXCO for approval.
Once approved by EXCO, the company is notified and a Contract Amendment drawn up and signed by all relevant parties.
The Project File and Funding Agreement is updated with the amendment
 

4. DORMANT PROJECTS

 
All dormant projects that have not started within a six-month period of the EXCO approval, the contracts will be cancelled and the funds re-allocated.
The company/organisation will be informed in writing.
No submissions will be allowed at this stage.
 

5. EXPIRED AND CLOSED PROJECTS

 
A Project Closure report will be requested from the company/organisation so that CETA can formally close the project.
The final invoice will not be processed without the closure indicating that the required delivered have been met. The closure report must reflect the project statistics.
